A sponsorship proposal isn't a sales pitch letter — it's a short, structured document that answers a business owner's three real questions as fast as possible: who are you, what do I get, and what does it cost? Bury any of those and you lose the read. Here's a section-by-section template that keeps it tight.
The Six Sections, In Order

Cover / Introduction (1 page). Organization name, logo, a single sentence on who you are and who you serve (age range, sport, number of participants). No mission-statement paragraph here — save that for section 2.

Organization Overview & Audience (1 page). Season length, number of teams/families, community reach (players + siblings + spectators), and one or two lines on what makes your organization distinct — a fast-growing club, a legacy program, a nonprofit mission. This is where you make the audience-size case.

Sponsorship Tiers & Pricing (1 page). Your Gold/Silver/Bronze packages side by side, with price and what's included in each. See our cost guide if you haven't set pricing yet.

Assets in Detail (1–2 pages). A short description and photo (if you have one) of each physical or digital asset — signage, jerseys, digital placements, event naming rights — so the business can picture exactly what they're buying.

Activation & Reporting Commitment (half page). What you'll do to make sure the sponsor sees their investment working — season-end photos, impression estimates, a simple report. This is what turns a one-season sponsor into a multi-year one.

Next Steps & Contact (half page). A single, clear call to action — a name, phone number, email, and a suggested next step ("reply to this email" or "let's schedule 15 minutes"). Don't make them guess how to say yes.
Format Tips
- Keep the whole document to 4–6 pages. Longer reads like you're compensating for a weak offer.
- Lead with numbers, not adjectives. "347 families across 12 teams" beats "a thriving community."
- Use one visual per section if you can — a photo of last season's signage, a jersey mockup, anything that makes the page more than text.
